The team from Global ECM Solutions was delighted to attend the annual Laserfiche Empower Conference last month in Long Beach California. The event was packed full of content and including exciting announcements on aspects such as Robotic Process Automation. We were also delighted that our customer Kensington Mortgages received a prestigious Run Smarter award.
Global ECM Solutions provides an Electronic Document Management system for hotels, spas and other leisure facilities. With increasing scrutiny and legal obligations on the handling of personal data under GDPR and the Data Protection Act 2018, this solution provides the security and management tools to help ensure guest, visitor and employee information is processed in a compliant manner.
This includes Global’s Hotel Check-In Digital Signature System, which is a simple, intuitive and easy-to-use solution that enables hotel reception staff to instantly capture original signatures of hotel guests during the check-in process on a tablet device, e.g. an iPad.
A document management system will store the registration card as a PDF, as well as documents such as scanned copies of payment receipts and proof of identity. The system can also be used to facilitate the storage, processing and retrieval of other documents such as contracts, purchase invoices, personnel and training records, retail receipts and facilities management records.
Benefits will include:
– Shorter queues at reception
– Automated capture of ID Documents
– Signature capture
– Ability to promote other hotel services at the point of registration
– Purchase invoice approval automation
– Elimination of paper records
– Reduction of storage and printing costs
– Two-way integration with a PMS solution
– The application of record retention policies
– Compliance with Data Protection obligation for the processing and protection of personal data

The Laserfiche 10.4 release includes a variety of new features, such as extension of Federated Search capabilities, improvements to the handling of Microsoft Office documents, the ability to assign a map location to a document, and more flexible records management options. In addition, the 10.4 release includes many bug fixes and performance enhancements.
New Features in Federated Search – Federated Search can now be configured to allow users to search across Windows network drives and Google Drive accounts. Also, in addition to respecting Laserfiche security settings, Federated Search now allows administrators to control access to external data sources, such as websites and network drives, as some users or departments may need greater access than others.
New Features for Office Documents – The web client installation now includes the Laserfiche Document Preview Service, which allows you to display Microsoft Office documents directly in the document viewer or the folder browser preview pane without needing an Office Online installation or account. This allows users to easily view their documents without needing to download them or use the Office Integration. In addition, users can now create Office documents directly in the repository without needing to first create them externally and import them.
Map Locations – Laserfiche 10.4 introduces the ability to associate a location on a map with a document or folder using Google Maps, Esri cloud maps, or Esri on-premises maps. Each location has both associated GPS coordinates and a location description; by default, the location description is the street address of the location. This location can be viewed in the details pane of the folder browser or document viewer, or used to perform a search.
Flexible Records Management – Laserfiche Records Management has been updated to enable greater organizational flexibility in how records are handled, while still enforcing security restrictions to help them meet their compliance needs. Cutoff and retention policies can now be assigned directly to any entry in the repository, without needing to be located within record series. In addition, holds (previously called freezes) can be placed on any entry in the repository, regardless of its folder structure or whether it is a record.
The latest Laserfiche updates include robotic process automation (RPA) features. RPA is the use of specialized computer programs, known as software robots (or “bots”), to automate and standardize repeatable business processes.
Working as a virtual assistant, bots complete tedious tasks, freeing up employee time.
This Laserfiche blog post covers how it works, what the benefits are and where the opportunities for process automation lie.
Laserfiche has been included in the 2019 KMWorld 100 Companies that Matter Most in the Knowledge Management List.
“This recognition underscores Laserfiche’s position that ‘knowledge management’ goes beyond digitizing and storing data,” said Greg Eisenberg, Director of Software Engineering at Laserfiche.
“Our technology enables organizations to streamline operations, collect and analyze process data, empower employees and transform the enterprise.”
The latest Laserfiche updates, which include robotic process automation features and expanded analytics and reporting tools, provide even more flexibility for organizations to build solutions catered to their specific needs.
